Free salon booking apps and software: what to check
By Martynas Gecas, Founder, Elite Booker. Updated .
A free subscription does not mean every part of running a booking service is free. Compare the tasks included, the charges attached to usage and what happens when your needs grow. The aim is a predictable cost for your business, not simply a zero on the plan card.
Separate a free plan from a time-limited trial
A free plan is an ongoing product tier; a trial is access that may end or change after a set period. Before starting, ask which features remain afterwards, whether a card is required, and whether anything renews automatically. Keep a copy of the terms you accept.
On Elite Booker, Basic is £0 a month with every feature, and your client pays a £0.99 booking fee when they pay online. Stripe charges its standard card fees on online payments. Nothing is charged when the 60-day trial ends.
Check five possible sources of cost
List subscriptions, payment processing, booking or acquisition fees, messaging, and optional add-ons. Ask whether fees apply to existing clients, new marketplace clients or both. Check whether extra staff and locations alter the price.
Estimate using a normal month and a busy month. Include the payment methods and number of reminders you expect to use. Keep VAT and annual commitments consistent across quotes; a monthly equivalent paid annually is not the same cash commitment as monthly billing.
Test the limitations that matter to your business
Try adding your real service durations, working hours and time off in a test account. Check permissions for a second staff member, how a customer reschedules and how a refund is recorded. A free plan can be useful even if advanced reporting is unnecessary; it can be unsuitable if a missing workflow creates daily manual work.
Check how support is provided and what records can be exported. An inexpensive setup can still be costly to leave if future appointments, balances or client records require manual reconciliation.
Free booking apps for one-person businesses
Nail techs, lash techs, barbers and hair stylists working alone usually need the same core tools as a salon: a booking link, reminders, deposits and a client list. A free plan can cover all of that; the costs to check are the per-booking fees, card processing and text messages, because they grow with every client.
Compare one-person prices in our guide to booking apps for beauticians, nail and lash techs, which lists each provider's published UK figures.
Choose an upgrade trigger in advance
Decide what would justify paying: a feature you actually need, less administration, or a different fee structure at your booking volume. Compare measured usage with the next plan instead of upgrading solely because a feature is available.
Before changing plans, confirm what happens to existing bookings and account data. Review the bill after the first full cycle and compare it with your estimate. Keep the assumptions so you can repeat the calculation as the team grows.
